PTA Executive Board and Commitee Chair Position Descriptions
Executive Officers:
President
Directs the affairs of the PTA in cooperation with the PTA Executive Board and school staff. Presides at General Membership and Executive Board meetings. Acts as representative for the Vineyard Ranch PTA at the council, district, state, and national level. Coordinates work of Executive Board members and many unassigned duties. Per district rules, CANNOT be an NEISD employee.
1st VP, President Elect
Assists the President, Officers, and Committee Chairs. Oversees making the Welcome Back packets at the beginning of the school year. Presides at meetings in the absence of the President. Prefer that this Officer be a past president (who can advise current President) or future president (who can learn from current President).
2nd VP, Ways & Means
Organizes, plans, and implements all fundraisers programs in order to secure the funds necessary to carry out the work of the PTA.
3rd VP, Programs
Arranges and plans PTA programs, themes, and activities for General Membership meetings.
4th VP, Volunteers
Recruits and assigns volunteers as needed for school and PTA activities. Processes volunteer applications and maintains lists of volunteers.
Secretary
Records the minutes of the General Membership and Executive Board meetings. Sends meeting reminders to Executive Board members. Keeps records of training sessions attended by Executive Board.
Treasurer
Serves as custodian of the funds and financial records. Receives and disburses all monies of the PTA. Keeps an accurate and complete account of money received and spent, writes checks, balances the PTA checkbook, prepares financial statements for General Membership and Executive Board meetings, and fills out tax forms. Per district rules, CANNOT be an NEISD employee.
Parliamentarian
Knows parliamentary procedure, is familiar with chapter PTA bylaws and the Robert’s Rules of Order, and advises President on questions of parliamentary law.
Committee Chairs:
Arts In Education Chair
(two events annually)
Coordinate and promote PTA Reflections Program (Fall) and assist art teacher with Young Masters Program/Gallery (Spring) art contest throughout the school to encourage participation and interest in cultural arts.
Bike Rodeo Chair
(one event annually)
Organize and promote all aspects of Bike Rodeo day. Work with SAPD Bike Rodeo Officer. Includes: printing off score sheets, arranging volunteers & refreshments, purchasing & distributing medals to Bike Rodeo winners.
Carnival Chair
(one event annually)
Coordinate committees necessary to hold annual Fiesta at the Ranch spring Carnival including ticket sales, volunteers, food, auction/raffle, and entertainment/attractions.
Communications
(throughout school year)
Coordinate necessary communication between our PTA families and our PTA including electronic newsletter and social media presence.
Copy Room Chair
(throughout school year)
Coordinate and schedule volunteers to make copies, posters and lamination in school office Copy Room per teacher requests.
Council Delegate
(throughout school year)
Attend all Council PTA regular meetings or see that an alternate attends instead. Take careful notes of announcements and the program at the Council PTA meeting. Report on the Council PTA meeting to your our PTA Executive Board. Maintain a procedure book.
Dual Language Liaison
(throughout school year)
Works with the Dual Language Specialist to help create programs, classes, and receptions to support families enrolled in the Dual Language Program. Updates Dual Language webpage on PTA website for effective communication of current events and activities. Translates PTA communications from English to Spanish.
Environmental/Outdoor Classroom Chair
(throughout school year)
Educates children on environmental issues, coordinates Walk to School Day, supports school Outdoor Classroom and recycling program. Also works with the Faculty and Staff to help keep the school beautiful. Responsibilities include creating educational, environmental gardening & planting programs for grades PK-5 for school year.
Field Day Chair
(throughout school year)
Coordinates with PE Teachers the field day activities, arranges volunteers and refreshments.
Fifth Grade Activities Chair
(throughout school year)
Plans & conducts activities for the 5th Grade. Works with grade-level teachers to design class T-shirt, places orders, distributes shirts. Plans celebrations and events such as grade-level photo, Kids Who Serve Party, and Year-End Party. Recruits volunteers for committee to help with events. Also serves as Chair of Bronco Legacy Scholarship Committee.
Historian
(throughout school year)
Document and organize photographs from events throughout the school year and share these photos with Communications chair to publicize PTA involvement.
Hospitality Chair
(throughout school year)
Organize refreshments quarterly for staff meetings and for family engagement events throughout the school year including: Tacos & Tissues breakfast (1st day of school), Grandparents Day Reception, Veterans Day Reception.
Hospitality Assistant
(throughout school year)
Assists primary chair in organizing refreshments quarterly for staff meetings and for family engagement events throughout the school year including: Tacos & Tissues breakfast (1st day of school), Grandparents Day Reception, Veterans Day Reception.
Library Chair
(throughout school year)
Organizes volunteers needed to run various events and day to day operations of the Library for the year. Coordinate with librarian and promote twice annual Book Fairs. Assist library with author visits.
Life Membership/Founders Day Celebration Chair
Create committee and oversee promotion of and selection of honorary Texas PTA Life Membership awardees. Attend workshop from NE Council of PTAs, coordinate invitations/pins/certificates and present awards to honorees at PTA general meeting in fall/winter. Coordinate ticket distribution to recipients and principal for Spring Founders Day Celebration.
Lunchroom Chair
(throughout school year)
Coordinate and promote volunteer signup for cafeteria lunchroom shifts throughout the school year.
Membership Chair
(throughout school year)
Recruit PTA members by promoting PTA, maintain and submit membership list and dues to Texas PTA, distribute membership cards, apply for membership awards throughout the year from Texas PTA.
PVSA (Presidential Volunteer Service Award) Chair
(throughout school year with culminating event)
Promote and communicate award qualification/timelines then plan award reception ceremony in Spring.
Room Representative Chair
(throughout school year)
Acts a liaison between classroom representatives and the PTA to coordinate 2 classroom parties (Fall and Spring) during the year. Coordinate donated classroom auction baskets for spring Carnival.
Room Representative Assistant
(throughout school year)
Assists primary chair in acting as a liaison between classroom representatives and the PTA to coordinate 2 classroom parties (Fall and Spring) during the year. Coordinate donated classroom auction baskets for spring Carnival.
Sister School Chair
(throughout school year)
Acts as a liaison to our Partners in PTA school. Work with that school’s Family Life Specialist and coordinate volunteers and promote donation drives: September, December, February.
Special Education Chair
(throughout school year)
Attend Special Education meetings and share information about opportunities and issues. Update and maintain Special Ed section of PTA website thru out school year.
Spirit Store Chair
(throughout school year)
Coordinates the ordering and sale of school spirit items. Update Spirit Items info for PTA website.
Teacher/Staff Appreciation Chair
(March – May)
Coordinate and lead implementation of the annual teacher/staff appreciation week in the Spring including volunteers, activities, and overall week-long itinerary.
Teacher/Staff Appreciation Assistant
(March – May)
Assists primary chair in coordinating and leading implementation of the annual teacher/staff appreciation week in the Spring including volunteers, activities, and overall week-long itinerary.
Technology Chair
(throughout school year)
Designs, builds and maintains the PTA website and Google account with all pertinent information as determined by the Executive Board throughout the school year.
Watch D.O.G.S. Chair
(throughout school year)
Promotes, recruits and organizes school Watch D.O.G.S. program throughout the school year. Watch D.O.G.S. is a father involvement initiative that encourages fathers and father figures to serve as positive male role models to our students and to enhance the school environment.
